Development & Recruitment Officer

Situated in beautiful Victoria, British Columbia, the Canadian College of Performing Arts (CCPA) is a dynamic educational center dedicated to excellence in the performing arts.  CCPA offers the highest level of quality training in a broad spectrum of performance areas, preparing students for careers locally, nationally and internationally. The Position
Reporting to the Managing Director of the College, the Development & Recruitment Officer will plan and execute CCPA’s annual fund development and student recruitment initiatives. The Development & Recruitment Officer will have direct responsibility for specific fundraising projects and appeals as well as manage a pool of donors and prospects across all giving areas (Corporate, Individual, Foundation and Government). They are also responsible for the development, planning, and preparation of student recruitment, retention and liaison strategies.  They will work collaboratively with the management team, Board of Directors and senior volunteers to meet the fundraising and admissions goals of the organization.

CCPA’s ideal candidate will be passionate about the performing arts and education and can build momentum with our current donors, funders and prospective students, as well as inspire new supporters and students.  With a successful history of garnering support, they will be comfortable with annual gifting, monthly giving, events, grants, public presentations and select major gifts in the range of $10,000 to $100,000.

Job description

Primary Development Duties and Responsibilities:

Works with senior management to:

  • Ensure a high rate of renewal with current donors, funders and sponsors
  • Execute strategies to increase and upgrade annual support at appropriate intervals
  • Manage a pool of prospects through the identification, cultivation, solicitation and stewardship of new contributions
  • Build CCPA’s portfolio of qualified prospects
  • Steward donors and sponsors
  • Plans donor appreciation events

As a part of the Management team:

  • Plans and participates in the creation, execution, evaluation and follow-up of all fundraising initiatives and donor activities
  • Determines content for and writes donor and sponsor communications
  • Attends select CCPA performances, receptions and events as required to develop relationships with Donors, sponsors and Patrons
  • Researches and writes government, corporate and foundation funding applications and proposals

Primary recruitment Duties and Responsibilities:

Works with the Communications & Marketing Officer to:

  • Co-ordinate participation in conferences and trade shows
    • Recruit and manage volunteers to assist with CCPA involvement in fairs, tradeshows, career, and education events
  • Raise CCPA’s profile by participating in off-campus activities and events
  • Assist with in-house tours, information sessions, and special events like Spend the Day at CCPA
  • Engage with prospective students and foster relationships with follow-up communications (Facebook Messenger, email, etc.). Track and monitor leads.
  • Create and arrange recruitment mass print mailouts to high schools, training centres, performance halls, and etc. across Canada. Arrange phone bank for follow-ups.
  • Visit or coordinate visits to high schools, and colleges, to give recruitment presentations to groups and individual students.
  • Meet with school counselors and administrators to promote outreach activities.
  • Coordinate special workshops given by faculty to schools and festivals for recruitment purposes.
  • Create, package, monitor and distribute resource materials for student recruitment and retention programs
  • Analyze trends in recruitment and retention programs
  • Develop strategies for program evaluation.

Qualifications:

  • Strong knowledge of fund development methods and standards of practice
  • Skilled in working with fundraising management software
  • Excellent database skills
  • Superior proficiency in customer service, relationship building and donor development
  • Advanced awareness of Canada Revenue Agency policies and guidelines governing fundraising
  • Proven skills and knowledge of the local, provincial and national philanthropic and sponsorship communities including key organizations and foundation and corporate granting cycles
  • Strong leadership, decision-making, analytical and problem-solving skills
  • Excellent planning, organizational, time-management and team building skills
  • Strong interpersonal and oral/written communication skills
  • Strong public speaking skills
  • Self-starter, detail oriented and flexible
  • Ability to work independently as well as in a team environment
  • Ability to thrive in a fast-paced work environment with multiple deadlines
  • Ability to manage multiple projects at a time.
  • A passion for the performing arts and Education
  • Ability to work evenings and occasional weekends at events and attendance at performances as required throughout the year.
  • A valid Driver’s License and access to a vehicle
  • Available for out-of-town, overnight travel as required.

Education/Experience:

  • Post-secondary degree or an equivalent combination of education and professional experience
  • 3 -5 years of relevant fund development and/or recruitment experience, preferably in an arts organization

Working Conditions:

  • This is a full time salaried position based on 37.5 hrs/wk with health Benefits package
  • Additional hours will be compensated in the form of time off-in-lieu as negotiated with the Managing Director.
  • Remuneration will be based on qualifications and experience

Communications & Marketing Officer

The Position

The Communications and Marketing Officer will report to the Managing Director and is responsible for planning, development and implementation of all of the College’s marketing strategies, marketing communications, and public relations activities, both external and internal. Create and implement support materials and publications for marketing, communications and public relations purposes.  In collaboration with the Development & Recruitment Officer is responsible for the development, planning, and preparation of recruitment and liaison strategies.

Job Description

Primary Communications Duties & Responsibilities:

  • Create, implement and measure the success of a comprehensive marketing, communications and public relations program.
  • Coordinate and oversee relevant market research.
  • Work with Managing Director to determine a communication and marketing budget and manage expenses to that budget.
  • Coordinate media interest in the College and ensure regular contact with target media and appropriate response to media requests.
  • Act as the College’s representative/spokesperson with the media
  • Monitor and assess news coverage of CCPA.
  • Manage media contact lists
  • Lead the Digital Communications content strategy
  • Website management and content creation
  • Coordinate and contribute to the CCPA Blog
  • Manage CCPA’s profiles and engage with audiences, across key social media sites
  • Create and implement digital communication plans around key events
  • Create and execute email marketing campaigns and manage email contact lists.

Primary Marketing Duties & Responsibilities

  • Editorial direction, design, production and distribution of all College publications.
  • Coordinate the appearance of all College print and electronic materials such as letterhead, use of logo, brochures, etc.
  • Work with Website Assistant / Graphic Designer to build materials for marketing campaigns
  • Create and implement marketing campaigns around key events.
  • Manage timing and messaging of advertisements. Work with Website Assistant / Graphic Designer to provide ad content.
  • Maintain relationships with relevant advertisers
  • Generate media sponsorships with the Development & Recruitment Officer
  • Oversee TV, radio, and video content

Collaborative Recruitment Duties:

Works with the Development & Recruitment Officer to:

Qualifications Required:

  • Demonstrated skills, knowledge and experience in the design and execution of marketing, communications and public relations activities. Strong creative, strategic, analytical, organizational and personal sales skills.
  • Experience developing and managing budgets. Demonstrated successful experience writing press releases, making presentations and negotiating with media.
  • Experience overseeing the design and production of print materials and publications.
  • Computer literacy in word processing, data base management and page layout.
  • Commitment to working with shared leadership and in cross-functional teams.
  • Strong oral and written communications skills.
  • Ability to manage multiple projects at a time.
  • A valid Driver’s License and access to a vehicle
  • Available for out-of-town, overnight travel as required.
  • Other: Minimum of 5 years’ experience in marketing, communications or public relations with demonstrated success, preferably in the not-for-profit sector.
  • Bachelors degree in journalism, marketing, public relations preferred. Graduate degree in a related field is desirable. Experience working with volunteers is desirable.
  • Understanding of the objectives of a performing arts college.
