Senior Bookkeeper

Primary Duties and Responsibilities:
Reporting to the accounting supervisor, the Senior Bookkeeper is accountable for the overall bookkeeping function of the College. The Senior Bookkeeper

  • can recommend relevant financial, accounting and audit management policies
  • helps to prepare and monitor the College’s annual budget
  • prepares reports for College management and the Board of Directors
  • helps manage the College’s cash and investments
  • monitors and advises chairs of department on departmental budgets
  • recommends options to improve the cost-effectiveness of College operations.
  • helps prepare reports to granting authorities

Please note:  Training will be provided for the successful candidate if they are missing experience in items listed below that are unique to non-profit charities or post-secondary colleges.

Basic Function: The Senior bookkeeper position processes financial transactions and creates financial reports from that information. The Senior bookkeeper reconciles accounts to ensure their accuracy.

Other duties may include, but not limited to:

  • Preparation and management of the College’s annual budget in consultation with the College Directors and department chairs;
  • Preparation of monthly financial reports for College management and the Board of Directors, with analysis of relevant issues or trends in College revenues and spending, along with recommendations or issues requiring attention from the Board of Directors;
  • Preparation, monitoring and reporting of budgets for events, grant applications and related activities;
  • Manage the College’s finances, including cash management, banking, investments and monthly cash flow
  • Preparation and management of cash flow monthly and annual forecasts
  • Managing the general ledger, including account analysis and reconciliation
  • Providing monthly, quarterly and year-end analysis
  • Coordinating and preparing internal financial reporting; external statements for development and regulatory reporting
  • Ensure reporting to all government agencies, funders and governing bodies is completed prior to deadlines. This includes but is not limited to: Canada Revenue Agency, Charities Branch, PTIB, BC Corporations and Government funding (CATF, BC Gaming, BC Arts Council, etc.), etc.
  • Preparing agreements for staff and other contractors, as required
  • Liaise with and assist management on bursaries and annual scholarship programs
  • Liaise with payroll & ensure processing with the Student and Faculty Services Manager
  • Ensure preparation of T4’s/T4a’s/T22O2A’s
  • Ensure PTIB – process monthly payment based on tuition paid in prior month
  • Pay supplier invoices in a timely manner
  • Issue invoices and payment receipts to customers
  • Ensure that receivables are collected promptly
  • Data entry of financial transactions for AR, AP and Payroll into Accounting Software
  • Maintain tuition tracking spreadsheet
  • Prepare bank deposits
  • Reconcile Advances to Expense Reimbursements
  • Prepare monthly reconciliations of all bank accounts including Company Visa Statements
  • Assist with periodic reconciliations of all accounts to ensure their accuracy
  • Reconcile the petty cash fund
  • Prepare Gaming Event reconciliations and reports
  • Assist with preparing charity tax receipts
  • Assemble information for external auditors for the annual audit and meet with auditors as required
  • Maintain an orderly accounting filing system
  • Assist with other financial reporting and tasks as required

Knowledge, skills and abilities:

  • Experience using Simply accounting software is essential (Departments, Projects, AR & AP) or the ability to learn this software if more familiar with another accounting software program;
  • Proficiency in MS Office software and the internet;
  • computer literate;
  • Database Management (FileMaker Pro or SUMAC) an asset;

Working Conditions:

  • The Senior Bookkeeper will work from The Canadian College of Performing Arts offices located at 1701 Elgin Road, Victoria, BC, V8R 5L7 for 20-37.5 hours / week, schedule to be determined and mutually agreed to.
  • Remuneration will be commensurate based on experience.
  • Occasional additional hours may be required as negotiated with the supervisor
