DEVELOPMENT OFFICER

The Position
Reporting to the Managing Artistic Director of the College, the Development Officer will plan and execute CCPA’s annual fund development and donor relations initiatives. The Development Officer will have direct responsibility for specific fundraising projects and appeals as well as manage a pool of donors and prospects across all giving areas (Corporate, Individual, Foundation and Government). They are also responsible for the development, planning, and preparation of stewardship and cultivation strategies. They will work collaboratively with the management team, Board of Directors and senior volunteers to meet the fundraising and admissions goals of the organization.

CCPA’s ideal candidate will be passionate about the performing arts and education and can build momentum with our current donors, funders and prospective students, as well as inspire new supporters and students. With a successful history of garnering support, they will be comfortable with annual gifting, monthly giving, events, grants, public presentations and select major gifts in the range of $10,000 to $100,000.

Job Description
Works with Senior Management to:

  • Ensure a high rate of renewal with current donors, funders and corporate partners
  • Execute strategies to increase and upgrade annual support at appropriate intervals
  • Manage a pool of prospects through the identification, cultivation, of new contributions
  • Build CCPA’s portfolio of qualified prospects
  • Steward active, funders, and corporate partners
  • Plan donor appreciation events and engagement opportunities

As a part of the Management team:

  • Plan and participate in the creation, execution, evaluation and follow-up of all fundraising initiatives, donor activities, and community events
  • Determine content for and write donor, funder, and corporate partner communications
  • Attend select CCPA performances, receptions and events as required to develop relationships with patrons, donors, funders and corporate partners
  • Research and writes government, corporate and foundation funding applications, proposals, and reports
  • Raise CCPA’s profile by participating in off-campus activities and events
  • Assist with in-house tours, information sessions, and special events like Spend the Day at CCPA
  • Oversee the administration of bursaries and scholarships
  • Develop strategies for program evaluation

EXECUTIVE ASSISTANT

Job Description
Reporting to the Managing Artistic Director, the Executive Assistant contributes to the efficient day-to-day operations and project management of the Canadian College of Performing Arts office, and supports the work of the College Directors, staff, faculty and the Board of Directors.

Tasks & Responsibilities
The Administrative Assistant is required to perform a range of duties including, but not limited to:

EXECUTIVE ASSISTANT DUTIES

  • Provide administrative support to the Managing Artistic Director
  • Prepare and compile materials for all Board and Executive meetings
  • Compile Managing Artistic Director reports
  • Maintenance of electronic and hardcopy filling systems
  • Coordinate Managing Artistic Director calendar
  • Support Managing Artistic Director in correspondence
  • Organize logistics related to all meetings, in-services, & retreats
  • Record and distribute minutes from meetings
  • Liaise with external parties for on-site meetings
  • Acts as a liaison for all departments and the College Directors by coordinating and tracking project action items and timelines

INTERDEPARTMENTAL DUTIES

Reception & Office Administration:

  • Greet visitors to the Canadian College of Performing Arts in a professional and friendly manner
  • Answer general phone inquiries in a professional and courteous manner with a goal to minimize the interruptions for all staff
  • Reply to general information requests with accurate information
  • Direct phone inquiries to the appropriate staff member and relay voice mail from the general mailbox to the appropriate staff member
  • Sort incoming mail, faxes, and deliveries for distribution; prepare and send outgoing faxes, mail, and packages
  • Manage the master calendar of productions, events, retreats, studios and rentals
  • Assist the Director of Education & Programming with the weekly schedule of classes
  • Manage day-to-day studio bookings and external rentals
  • Order office supplies
  • Order custodial supplies and manage general communications with the College custodians
  • Copy scripts and prepare materials for all productions
  • Data entry and upkeep of the Canadian College of Performing Arts databases, ensuring a high level of accuracy
  • Process payments

Registrar:

  • Assist the Registrar with preparation for Orientation Week each September
  • Assist the Registrar with student filing
  • Book studios for class schedule and student use

Box Office Management & Front of House:

  • Support the Box Office Manager during the College’s season (answer inquiries with accurate information about the College’s season, process payments for season subscriptions and show tickets, book patrons through Eventbrite)
  • Assist with Front of House during the College’s season (supervise volunteers, ushers and concession)
  • Assist with College events and fundraisers as needed
  • Administrative assistant may be asked to work more than regular hours during production weeks

Development:

  • Coordinate and compile information from various departments for government, corporate and foundation funding reports and renewals
  • Support Development and Finance in managing SUMAC database through processing incoming contributions and generating tax receipts

Recruitment & Tours:

  • Assist with arrangements for the National Tour
  • Working with College directors, coordinate flight and hotel arrangements, travel itineraries, official travel documentation, travel insurance, show and workshop bookings
  • Prepare itinerary, booklets and other information for students, faculty and the College directors
